About Us
CAO Status Check is an independent educational information site for South African students, matric learners, applicants and parents/guardians who are applying through the Central Applications Office (CAO).
What this site does: it explains, in plain South African English, how to check a CAO application, what official statuses mean, how to apply, what fees and dates to check, and how to fix common problems. What it does not do: it does not process applications, does not decide admissions (institutions do), does not retrieve private records, and does not collect passwords or ID numbers.
Independent educational information site. This site is not CAO, is not affiliated with or endorsed by CAO or any university, and is not an official portal. It cannot retrieve private application records. Actual status records are only on the official CAO portal at cao.ac.za.
Who This Guide Is For
This guide is written for South African students and applicants at every stage of the CAO journey: Grade 12 learners preparing to apply, first-time applicants, returning applicants, students who have already applied and are checking an existing application, and parents or guardians who are helping an applicant. No prior knowledge of CAO wording is assumed. Official terms are explained in plain language, and student wording is mapped to the official term where it helps, for example “pending” is explained as Waiting for a Decision, and “provisionally accepted” is explained as a Conditional Offer.
The guide is most useful when you already know that you are applying through the Central Applications Office, or that you have an application in progress and want to understand what happens next. It is not a substitute for the official CAO portal or the official Handbook, and it never asks you for private details about your own application.
What This Guide Covers
The guides on this site cover the full application journey in plain South African English:
- Checking a CAO application and understanding what each official status means, including Waiting for a Decision, Awaiting Results, Conditional Offer, Firm Offer, and the other official status terms explained on the status meanings guides.
- Applying online, including what to prepare, what documents and requirements to check, and how programme choices work. CAO serves the KwaZulu-Natal public universities — the University of KwaZulu-Natal (UKZN), Durban University of Technology (DUT), Mangosuthu University of Technology (MUT), and the University of Zululand (UNIZULU) — plus participating private colleges, and one application covers up to six programme choices.
- Fees and payments, including how to check what fee applies and how to fix payment problems. Fee figures change by cycle, so always check the current position on cao.ac.za before paying.
- Closing dates and important dates, including programme deadlines and late applications. Dates change by cycle and by programme, so always check the current CAO Handbook before relying on a date.
- Universities and courses, including how to choose programme options and how to apply to a specific institution through CAO.
- Login help, including forgotten passwords, login problems, and how to find a CAO number. The status checker and the applicant login are different: the status checker uses a CAO number, a South African ID number, or a passport number, with no password, while the separate applicant login uses a CAO number plus a password.
- Application problems, including an application number not found, an ID number not recognised, a status not updating, and the CAO website not working.
- Offers and acceptance, including conditional and firm offers, acceptance deadlines, and registration after acceptance as a next step to confirm with the institution itself.
- Changing programme choices after submission, documents that could not be uploaded, and contact details that need updating.
How This Guide Is Researched
Content is researched official sources first: cao.ac.za, including the official Handbook, Entry FAQs, Terms and Conditions, and Learner Guide, then official university and government sources, then reputable education sites. Reputable sites and competitor articles are used only to find the questions students actually ask and the gaps in existing explanations; their wording is never copied. Time-sensitive fees, dates, procedures, and contact details are only stated where they were verified on an official source. Where verification failed, the information is omitted and flagged rather than invented. The full approach is set out on the Editorial Policy page.
What This Guide Does Not Do
This guide does not check, change, or retrieve any private CAO record, and it cannot tell you the current status of your own application. It does not process applications, and it does not decide admissions — institutions decide admissions. It does not collect passwords, ID numbers, passport numbers, or CAO numbers, and it does not give personal admission advice or guarantee any outcome, funding, fee, or deadline. If a question concerns your own private record, only the official CAO portal can answer it.
How To Use This Guide
Start with the guide that matches your question, read the plain-language explanation of the official wording, and follow the steps it sets out. Then, before you pay, submit, change a choice, or rely on a date, verify the current position on cao.ac.za and in the current CAO Handbook. If anything on this site looks incorrect, outdated, or unclear, report it through the Contact Us page, without sending any private details.
