Your CAO Login is the door into your applicant account on the official Central Applications Office (CAO) website, www.cao.ac.za. This page covers what that login is actually for, the two details you need, and how to sign in without a fuss. It also clears up the mix-up with the CAO status checker, since mistaking one for the other is the top reason students walk away thinking their login is broken.
What CAO Login Is — and What It Is Not
Think of the applicant login as your private workspace for your own application. CAO's 2027 Entry FAQs describe it as the way in to finish an application, upload documents, and update your details. Signing in takes your CAO number and your password.
The login is a different tool from the status checker. The checker, called Check My Application on the CAO homepage, follows each programme choice using a single identifier — your CAO number, your South African ID number, or your passport number — and never asks for a password. Just want to see where you stand? Use CAO Status Check instead. Need to change something on your application? Then the login on this page is the right tool.
| Tool | What you enter | Use it to |
|---|---|---|
| Applicant login | CAO number and password | Finish an application, upload documents, update details, put in a Change of Mind |
| Check My Application | A single identifier: CAO number, ID number, or passport number | Follow the status of each programme choice |
Hold onto that distinction. Typing your ID number where a CAO number and password belong, or a password where only one identifier belongs, will fail — even when every detail you typed is correct in its own right.
What You Need to Log In
Signing in takes two things:
- Your CAO number. This is the reference CAO gave you when you started your application. It popped up during the application process and was also sent to the email address you gave.
- Your password. This is the password created or issued during your application. It is not your ID number, not your EasyPay number, and not a one-time code.
It also helps to still have access to the email address or cell number on your application, because that is where a replacement password goes if you ever reset it. If those contact details have changed, update them first through Update My Details, as the password guide explains, before counting on a reset message to reach you.
No CAO number yet? Then there is no account to sign into — you need to start an application first. Applied already but cannot find the number? Read How to Find Your CAO Number. Got the number but lost the password? Read CAO Forgot Password instead of opening a new application.
How to Create a CAO Account
There is no separate "create account" page at CAO apart from starting an application. Your account comes into being as part of applying itself. In brief, following CAO's 2027 Entry FAQs:
- Open www.cao.ac.za and choose Apply in the top navigation bar.
- Read the information, then select Continue with Application.
- Type in your ID number or passport number, then submit.
- Answer the authorisation question about whether someone else may access your application information, if it comes up, and carry on.
- Fill in all the details asked for, checking each page before you move on.
- Select Continue with Online Application. A pop-up will show your CAO number, password and EasyPay number, and the same details will also be emailed to the address you provided. Save them right away, somewhere only you can reach.
- Work through the remaining pages, check your application summary, fix anything wrong using Edit, and select Process My Application to submit.
One warning from the FAQs is worth taking seriously: getting your CAO number and password does not mean your application is complete. It only counts as submitted once you have reached the end, checked the summary, selected Process My Application, and seen the confirmation that your application has been successfully submitted to CAO. After that, you must still pay the administration fee and upload your supporting documents, unless you already did both during the application.
How to Log In to CAO: Step by Step
- Go to www.cao.ac.za. Type the address in yourself, and satisfy yourself you are on the official site before typing in any personal details.
- Select Login on the CAO website.
- Type your CAO number into the CAO number field.
- Type your password into the password field, carefully — passwords are case-sensitive, so one wrong character will block you.
- Select Login or Submit, whichever the screen shows.
- Once you are in, use the menu on the left-hand side to pick what you want to do — for example Continue with Online Application, Upload Documents, Update My Details, or Change of Mind.
Never tick a "remember me" option on a shared or public computer, and always log out when you are done — especially on a school, library or internet café computer.

What You Can Do After You Log In
Complete an unfinished application
If your session timed out before you finished, CAO's FAQs point to this route: go to www.cao.ac.za, select Login, sign in with your CAO number and password, then choose Continue with Online Application on the left navigation bar. Follow the on-screen instructions, fill in everything requested, and select Process My Application once you have checked your summary. From there you can upload supporting documents and pay online or via EasyPay.
Upload documents
On the homepage, the Upload My Documents icon takes you into the upload flow, where you sign in and follow the prompts. Keep your CAO, ID or passport number close by, and save each document individually, uploading it under its correct document type. A document filed under the wrong type can end up showing as not received or outstanding. For the full document list, see CAO Upload Documents and CAO Application Documents.
Update your contact details
Choose the Update My Details icon, sign in with your CAO number and password, and follow the prompts. You can change your contact details as often as you need to, at no cost, but your application has to be fully completed and fully paid before you can update your details this way. Look over the summary showing your current and updated information side by side before you select Process My Updates. For more detail, see CAO Update Contact Details.
Submit a Change of Mind
Want different programme choices? Use the Change of Mind icon and sign in when asked. Enter every programme choice as you would like it to stand now — including the ones you are keeping — in your preferred ranking order. A Change of Mind only reaches institutions once the Change of Mind administration fee has been paid. For January 2027 entry, that fee is R140, as confirmed in CAO's 2027 Entry FAQs. See CAO Change of Mind.
Pay your administration fee
You can pay online while you apply, or later through the Payments option on the top menu bar, by entering your CAO number and selecting Make Payment. You can also pay at an EasyPay outlet, using your unique EasyPay number as the reference. CAO's FAQs say a payment shows on the system on the next business day. See CAO Pay Application Fee.
Can You Log In With Your ID Number?
This question keeps coming up, so it deserves a careful answer. The applicant login itself asks for a CAO number and a password. It is not an "ID number login" in the way the status checker is.
Your ID number still matters in two other places, though. First, when you start an application, you enter your ID or passport number, and the system then gives you your CAO number. Second, if you forget your password, the reset asks for your CAO number, your ID number, and your surname just as they were entered on your application, plus a validation code shown on screen. So your ID number can help you get back in, but at the login box itself it cannot stand in for your CAO number and password.
As a quick test: a page asking for one identifier and no password is Check My Application, not the login. A page asking for a CAO number and a password is the login. Match the tool to the job you want to do.
Keeping Your CAO Account Safe
- Never give your CAO number and password to an unofficial helper, agent, or social media account offering to apply or check results on your behalf.
- Choose a password you can remember but others cannot guess. Your ID number, your date of birth, and the word "password" itself are all poor choices.
- If a reset sends you a temporary password, sign in promptly and use Change Password to set a permanent one. CAO's FAQs say a temporary password lasts only 24 hours.
- If you suspect someone else has seen your password, change it, and check that the email address and cell number on your application are still yours.
- Log out after every session, and close the browser if you were on a shared device.
Neither this guide nor any independent website can fetch or reset your password for you. Only the official CAO reset flow, or CAO itself through its official contact channels, can restore access to your account.
If Your Login Does Not Work
Do not jump to the conclusion that your account has been deleted or your application lost. Run through the likely causes in turn: a mistyped CAO number, a mistyped or outdated password, a surname that does not match the application exactly (which matters for a reset, rather than at the login box itself), a changed email address or cell number standing in the way of a reset message, or a session that timed out. If the correct details still fail, read CAO Account Login Problems for a step-by-step troubleshooting guide before you contact CAO.
When you do contact CAO, have your CAO number ready, describe the exact message you saw, and say which page you were on — login, status checker, upload, or payment — because the fix depends on the page. CAO's 2027 Entry FAQs list the call centre as 031 268 4444, Monday to Thursday 08h00–16h30 and Friday 08h00–14h00, except public holidays, with +27 31 268 4444 from outside South Africa.
