Nothing is more annoying than a CAO login that refuses to work — especially when a document upload is waiting. The good news is that most of these failures come down to something small and fixable: the wrong tool, a mistyped number, an old password, or a surname that does not line up with the application. This page takes those causes one at a time, so you can sort it out without opening a second application or handing your details to a stranger.
Step 0: Confirm You Are in the Right Place
Before you start blaming your password, make sure you are actually in the login. That one check alone clears up a lot of reported "login failures".
- Applicant login: your CAO number and your password. This is the one for finishing an application, uploading documents, updating details, or putting in a Change of Mind. See CAO Login.
- Check My Application (status checker): a single identifier only — your CAO number, or your ID number, or your passport number — and no password. This one is only for viewing your status. See CAO Status Check.
Put a password into the status checker, or an ID number on its own into the login box, and the system will turn you away even though your details are right somewhere else. Go back to www.cao.ac.za, pick the tool that fits your task, and try again with the details that tool actually asks for.
Also double-check that you are on the official site, www.cao.ac.za. A copycat site will never accept your real CAO details, and typing them in there puts your account at risk. Type the address in yourself instead of following a link from a message or a social media post.
Cause 1: Wrong or Mistyped CAO Number
The login wants your CAO number — not your ID number, passport number, or EasyPay number. Give these a look:
- Lay the number you typed next to the CAO email or letter that lists your CAO number, password and EasyPay number together, and make sure you copied the CAO number rather than the EasyPay number.
- Look for digits swapped around, and for a digit dropped at the start or the end.
- Make sure the number is for the right entry year and term. A CAO number from an earlier cycle will not open the application you are expecting.
- Do not add spaces, dashes, or the words "CAO" in front of the number, unless the form itself shows it that way.
If you cannot find your CAO number anywhere, stop working on the login for now and get the number back first. See How to Find Your CAO Number.
Cause 2: Wrong, Old, or Expired Password
Password trouble is the next most common cause, and it comes in a few different shapes:
| Problem | What happens | Fix |
|---|---|---|
| Mistyped password | The login is refused, even though the password itself is right | Retype it slowly, watching your capital letters. Passwords are case-sensitive. |
| Old password after a reset | The earlier password no longer works | Use the newest password CAO sent you, then choose a permanent password. |
| Temporary password expired | A reset password stops working once its validity period is over | Ask for a fresh reset. A temporary password lasts only 24 hours, according to CAO's FAQs. |
| Password saved wrongly by a browser | The browser fills in an old or incorrect password on its own | Type the password in by hand, or clear the saved entry for cao.ac.za and type it again. |
| Password from a different account | A password for email or social media gets typed in out of habit | Use only the CAO password issued for this application. |
If your CAO number is definitely right but the password is wrong or forgotten, use the official reset instead of guessing over and over. Go to www.cao.ac.za, select Login, use the recovery link below the login box, and enter your CAO number, ID number, and surname just as they appear on your application, plus the validation code shown on screen. CAO will send a new password by email or SMS, whichever option you choose. The full steps are in CAO Forgot Password.
Once you are in with a temporary password, use Change Password right away to set a permanent one, then log out and log back in once to make sure the new password works.

Cause 3: Surname Mismatch
A surname mismatch usually blocks a password reset rather than the login box itself — but it still feels like a login problem, because you cannot get past the recovery step. CAO's 2027 Entry FAQs put it plainly: for a reset, your CAO number, ID number and surname must match what you entered on your online application, exactly.
Watch out for:
- Spelling differences. Compare your surname letter by letter with your identity document and with anything CAO has sent you.
- Hyphens, spaces, or double surnames. Stick to the form recorded on the application, not a shortened or rearranged version.
- A surname that has changed since you applied. For the reset, use the surname from the application, even if you go by a different surname now.
- An ID number error next to the surname. If both the ID number and the surname are slightly off, the system cannot verify you. Sort the ID number first, digit by digit, then the surname.
If you have checked the surname against CAO correspondence and the reset still turns it down, do not keep trying random variations. Write down the exact message, gather your CAO number and ID number, and contact CAO. Guessing will not uncover the recorded spelling, and it burns time you could spend getting a verified correction through CAO.
Cause 4: Changed Email Address or Cell Number
A changed email address or cell number can block password recovery even when your CAO number, ID number and surname are all correct, because CAO sends the new password to the email address or cell number on your application.
CAO's FAQs say that if those details have changed, you have to update your details first. Go to www.cao.ac.za, select Update My Details, and follow the prompts. You can change your contact details as many times as you need to, the change is free, and your application must be fully completed and fully paid before you can update your details through that function. Once the update is done, run the password reset again. See CAO Update Contact Details.
If your application is not fully completed or fully paid yet, so the update route does not fix things, ask CAO for guidance on your own case rather than creating a new application.
Cause 5: Session Timed Out or Application Not Finished
If you began an application, left it, and now cannot get back in, a timed-out session may be the culprit rather than a wrong password. CAO's FAQs lay out a specific route for an unfinished application:
- Go to www.cao.ac.za.
- Select Login.
- Enter your CAO number and password.
- On the left navigation bar, choose Continue with Online Application.
- Follow the on-screen instructions and fill in all the information requested.
- Look over the summary, then choose Process My Application.
If a page inside the application itself will not let you move on, remember that CAO's FAQs note most fields are compulsory. If the system flags incomplete fields, scroll to the top of the page to find which field was marked as missing, fill it in, and carry on. Do not assume the login has failed when the real hold-up is an unfinished page inside the application.
When to Contact CAO
Contact CAO once you have checked your CAO number, ID number and surname against CAO correspondence, tried a fresh password reset, updated your contact details where needed, and tried a second browser or device — and the login still fails. Also contact CAO if the system shows a message you cannot make sense of, or if you think someone else may have got into your account.
According to the 2027 Entry FAQs, the call centre is 031 268 4444, Monday to Thursday 08h00–16h30 and Friday 08h00–14h00, except public holidays; callers outside South Africa should use +27 31 268 4444, and a self-help option is available on the same number after hours. Before you call, get these ready: your CAO number, the identifier you used, the exact error message, the page you were on, the browser and device you tried, and whether you have recently reset your password or changed your contact details. Having that detail ready means CAO can help you without making you repeat steps you have already tried. For CAO's full contact options, see CAO Contact Details.
